How WebConsultants collects, uses and protects your personal information.

## 1. Who we are

WebConsultants (Pty) Ltd (“WebConsultants”, “we”, “us”) is a digital marketing agency based in Stellenbosch, Western Cape, South Africa. We are the responsible party for the personal information described in this policy.

This policy explains what personal information we collect through our website and when you contact us, how we use it, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA).

### Information you give us

- **Contact form:** your name, email address, phone number, business name (optional), the service you are interested in and your message.
- **Consultation bookings:** the details you enter when booking a consultation, such as your name, email address and any answers to booking questions.
- **Calls, emails and WhatsApp messages:** your contact details and anything you choose to tell us.
- **Client work:** if you become a client, the business and contact information needed to provide our services.

### Information collected automatically

When you visit our website, we use Google Analytics (through Google Tag Manager) to understand how the site is used. This can include the pages you visit, how you arrived at our site, your device and browser type, and your approximate location. This information is collected using cookies and similar technologies.

## 3. How we use your information

- To respond to your enquiry and arrange or hold a consultation.
- To provide our services if you become a client, and to manage our relationship with you.
- To understand how our website is used and improve it.
- To send you marketing emails, but only if you have agreed to receive them or are an existing client, and always with an easy way to opt out.
- To meet our legal and regulatory obligations.

We only collect the information we need for these purposes.

## 4. Why we are allowed to use it

Under POPIA, we process your personal information on one or more of these grounds:

- You have given your consent, for example by ticking the consent box on our contact form.
- It is necessary to take steps you have asked for before entering into a contract, or to perform a contract with you.
- It is necessary to comply with a legal obligation.
- It is in our legitimate interests, or yours, and does not override your rights, for example keeping our website secure and working properly.

Where we rely on your consent, you can withdraw it at any time.

## 5. Who we share it with

We do not sell your personal information. We share it only with service providers (operators) who help us run our business and who process it on our instructions, such as:

- our website hosting and database providers
- our email and notification services
- our online booking tool for consultations
- Google, for website analytics
- WhatsApp (Meta), if you message us there

We may also disclose information where the law requires us to.

## 6. Information sent outside South Africa

Some of the service providers we use store or process information outside South Africa. Where this happens, we take steps to make sure your information is protected to a standard similar to POPIA, as required by section 72 of the Act, for example by using providers bound by appropriate data protection laws or agreements.

## 7. Cookies and analytics

Cookies are small files stored on your device. We use analytics cookies to see how visitors use our website. They do not tell us who you are.

You can block or delete cookies in your browser settings. Doing so will not stop you from using our website.

## 8. How long we keep it

We keep personal information only for as long as we need it for the purposes in this policy, or for as long as the law requires.

- **Enquiries that do not lead to work:** only for as long as we need them to respond and follow up.
- **Client records:** for the duration of our relationship and afterwards for as long as required by law, for example for tax and accounting purposes.

When we no longer need it, we delete or destroy it securely.

## 9. How we protect it

We use reasonable technical and organisational measures to protect your information, including access controls and reputable, secure service providers. If we believe your personal information has been accessed without authorisation, we will notify you and the Information Regulator as required by POPIA.

## 10. Your rights

Under POPIA, you have the right to:

- ask whether we hold personal information about you, and request a copy of it
- ask us to correct or delete information that is inaccurate, out of date or no longer needed
- object to us processing your information
- withdraw your consent where we rely on it
- opt out of marketing communications at any time
- lodge a complaint with the Information Regulator

## 11. Marketing

We will only send you marketing emails if you have agreed to receive them, or if you are an existing client and the emails relate to similar services. Every marketing email includes an easy way to unsubscribe.

## 12. Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18.

## 13. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
